How do I invite my team and choose their roles?

For businesses using Cleo PayUpdated

Browse help topics

To add someone, go to Settings, then Team Members, and click Add Member. Enter their email, choose Admin or a role like Payer or Approver, and click Send Invitation. They get an email from us, sign up or sign in with that address, and accept. Only admins can invite people or change roles.

Invite someone

  1. Click Settings, then Team Members.
  2. Click Add Member.
  3. Enter their email address.
  4. Pick a role under Role.
  5. Click Send Invitation.

The invite shows on the Pending tab until they accept. From there you can click Resend to send the email again, or Cancel to withdraw it.

You can also invite people during setup, on the Team step. See How do I set up my Cleo Pay account?

Admin or member

Every person is either an admin or a member with a role.

AccessWhat they can do
AdminEverything, including Settings. "Access to all features and settings."
Member with a roleOnly what their role allows. Members don't see Settings.

Pick Admin at the top of the role list to make someone an admin. Pick any other role to make them a member with that role.

The built-in roles

Every business starts with these two roles for members:

RoleWhat it's for
PayerRuns payments. Can view, create, edit, approve and pay bills, send invoices, and manage contacts, tags and products. Can view and export reports.
ApproverReviews payments. Can view bills and approve or decline them, with read-only access to invoices, contacts and reports. Can't send payments.

Make your own role

  1. Click Settings, then Roles & Permissions.
  2. Click Create role.
  3. Pick a template under "Start from a template", or start blank. The Accountant template, for example, gives read-only access to payments, invoices and reports, plus exports.
  4. Name the role, turn permissions on or off, and click Create role.

A few view permissions stay on for every role because core features need them.

What your teammate sees

They get an email with the subject "You've been invited to join [your business] on Cleo". The Review Invitation button takes them to sign up with that email address already filled in. If they already have a Cleo Pay login, they can sign in instead.

If they're new to Cleo Pay, we ask them a couple of quick questions first. They should choose Pay my vendors, then close the "Create a business" window if it opens. The invitation is on the page behind it, under "Invitations", with Accept and Reject buttons. After they click Accept, your business appears in their list of businesses.

They need to sign up with the same email address you invited.

Seats and charges

Each person who accepts takes a seat on your plan, admins included. Pending invites don't take a seat. When you add someone, the Add Member window tells you what it costs. Usually that's a prorated charge now, then the seat price each month. If a seat you already paid for this period is free, it says so. See Plans, seats and included payments.

Change a role or remove someone

On the Active tab, click the menu on that person's row.

  • Update changes their role or makes them an admin.
  • Revoke access removes them from the business. You can bring them back later with Reactivate access.

You can't change your own role from this page. Ask another admin.

If an invite doesn't arrive

Ask them to check spam, then click Resend on the Pending tab. If it still doesn't arrive, email support@cleo-pay.com with your business name and the email address you invited.
