Vendor & 1099 Contractor Payment Tracker

Know who you owe a 1099 to before January, not during it.

A free Excel tracker for every vendor and contractor you pay. Log each W-9 and payment, and the year-end summary shows who crossed the 1099-NEC threshold, who is still missing a W-9, and how much backup withholding you could owe.

Inside the workbook

Four tabs that do the thinking for you.

Most 1099 trouble starts months before filing: a vendor who was paid five times without ever sending a W-9, or a payout nobody logged. This tracker puts the W-9 gap next to the dollars. You see a vendor approaching the threshold while you can still ask for the form, and your backup withholding exposure shows up as a number instead of a January surprise.

01

Vendors tab

One row per payee: legal name, entity type from their W-9, W-9 status and date, last four of the TIN, and the mailing address you need to file. Each tab opens with a one-line step telling you what to do there. Corporations show as likely exempt, and a duplicate name gets flagged before it splits one vendor's payments across two rows.

02

Payments tab

Log each payment by the date you paid it: pick the vendor from a dropdown, enter the amount, and say what it was for and how you paid. Services count toward the 1099-NEC, rent is set aside for the 1099-MISC, and card and payment app payments are kept out because the processor reports them on a 1099-K.

03

1099 Summary tab

Pick a tax year and the threshold looks itself up. Every vendor gets a plain-English next step: Ready to file, Get W-9 then file, Getting close, Nothing to file yet, Rent needs 1099-MISC, or Likely exempt. The top of the page totals the forms to file, the amount to report, and the 24% backup withholding at risk.

04

Built-in checks

A payment with no date, no vendor, or a vendor who is not on your list turns red on the Payments tab, and the Summary warns you that it is not in the totals. A payout can't quietly drop out of your 1099 numbers.
